Pricing and getting started
How much does Pandahrms cost? — from RM5 per employee a month
It is per employee, per month.
Any single module is RM5 per employee a month, except Performance at RM8. Essentials — Time & Attendance, Payroll and Leave together — is RM9.
That drops to RM8 above 100 staff, RM7 above 200 and RM6 above 500. Minimum 10 staff, 8% SST on top. See the full price list.
How do you move us off our current system?
Our team does the migration for you.
We bring across your employee master data, leave and attendance records, and the current year’s payroll history, so year-to-date figures such as accumulated tax carry over and the migrated months show as payslips.
We have pulled data straight out of SQL Payroll and UBS, and we accept Excel in your format or ours. Training runs alongside, and we can parallel-run against your old system before go-live.
There is a one-time setup fee, quoted in writing before work starts.
Can the training really be claimed from HRDF?
Yes, the training — not the software.
Pandaworks Sdn Bhd is an HRD Corp Registered Training Provider, so the training we run for your HR team qualifies for an SBL-Khas application. Approval, and the amount, remain HRD Corp’s decision. The software subscription is not claimable.
Attendance, shifts and overtime
Do we have to buy a fingerprint or face machine?
No.
Staff clock in and out from the Pandahrms mobile app, and attendance is held inside the GPS geofence you set for each site or outlet — as many locations as you need, added at any time.
Anyone outside their boundary uses the “weak GPS signal or out of fence” option, which records the clock-in for admin approval.
If you already own FingerTec Ingress or ZKTeco terminals, we can feed their data in through a downloader installed on the PC connected to the terminal.
How is overtime calculated?
Per work schedule, on rules you set.
You set a minimum before OT starts counting — for example only after 30 minutes past shift end — a cap on OT hours, the rounding rule, and separate rates for a normal working day, off day, rest day and public holiday (commonly 1.5× / 2.0× / 3.0×).
OT can be set to count only after an OT application is approved. The hourly rate follows the Employment Act 1955 Section 60I: basic salary ÷ 26 ÷ daily working hours.
Do you handle 24-hour operations and overnight shifts?
Yes.
Schedule codes can cross midnight — 11pm–7am, 6pm–2am — and the clock-out is matched back to the correct working day through each schedule’s time log capture range.
Rotating shifts run on a Group Duty Roster for a fixed pattern, or an Individual Duty Roster to plot week by week. Outlets on different hours each get their own schedule code.
Can the system work out a shift or attendance allowance with conditions?
Yes, through Attendance Incentive.
The formula reads late-in minutes, early-out, over-break, absence and each leave type, so a rule like RM100 for a clean month, RM50 for a partial month and nothing otherwise calculates by itself and lands in payroll.
A flat monthly allowance with no conditions is set up as a Recurring Transaction instead.

Can we control late-in deductions?
Yes, and you can switch them off entirely.
Each schedule carries a grace period, so a few minutes late is not counted. Past it, you choose actual minutes or rounding to a block, and the formula base — basic ÷ 26, calendar days, or your own working hours.
Leave late-in, early-out or over-break unconfigured and nothing is deducted for it at all.
Payroll and statutory
Does it calculate EPF, SOCSO, EIS and PCB?
Yes, on every payroll run.
It applies the current statutory schedules, including SKBBK (Lindung 24 Jam) and the HRDF levy, and each item can be switched on or off per employee where it applies.
After the run, the Autopay Generator produces the upload files: KWSP for the KWSP portal, PERKESO for ASSIST, the PCB text file for LHDN e-PCB, and your bank’s payment file. When the rules change, we ship a system update.
What about the EA Form, Form E and the CP forms?
Pandahrms generates them from your payroll data.
That covers the EA Form, Form E, CP8D, CP22 and CP22A, plus the PCB/CP38 text file you upload to MyTax.
Staff download their own payslip and EA Form from the mobile app, including after they leave. On Pandahrms Cloud you submit the files to LHDN yourself; on our Payroll Outsource service our team files them for you.
Can one employee sit on payroll across two companies in the group?
Yes.
Each company keeps its own profile with its own EPF, SOCSO, LHDN and HRD Corp employer numbers, so statutory forms and bank files come out per company.
Admins move between companies from the selection page without a second login. Someone paid by two companies has a profile and a payslip in each. Records are viewed one company at a time.
Most of our workers are foreign workers. Does that work?
Yes.
EPF, SOCSO and EIS are set per employee under the statutory tab, so you control the contribution rate and who contributes for each foreign worker, and payroll applies it every cycle.
Profiles, allowances such as meal and hostel, and clock-in all work the same way.
Leave, claims and the rest
How does leave work?
It runs on rules you set, not fixed entitlements.
Carry-forward has a maximum and an expiry date, and unused days are forfeited after it. Entitlement pro-rates for a mid-year joiner and re-prorates when you run cessation for a leaver.
Replacement leave earned on a rest day or public holiday carries its own expiry. You can create your own leave codes, and an approved leave can still be cancelled through an approval.
Can staff submit expense claims in the same system?
Yes.
You define the claim codes, staff attach the receipt, and each claim follows your approval route, with optional HR verification and admin approval stages.
Approved amounts flow into payroll through a linked transaction code, or export through Claim Payment. Yearly entitlement balances such as medical or dental by job grade sit in the Benefit module.
Do you handle MyInvois / e-Invoice?
No.
Pandahrms is HR and payroll. E-invoicing is handled by your accounting or ERP system.
